Release 164 of the Bipsync Research Management System RMS is out now. In this release we introduce the Mail Classifier, which allows email to be routed into the research management system before being tagged and assigned according to a set of configurable rules.
This is a significant workflow feature for any asset manager or asset owner dealing with rising volumes of critical information and data in already overloaded email inboxes. This release also includes numerous other enhancements and bug fixes we’d like to share with you…
Our clients receive a deluge of emails on a daily basis. In amongst the noise are hundreds, if not thousands, of email messages relevant to the research process: capital account statements, quarterly letters, annual financials, sell side reports… the list goes on.
One way to get this information in to Bipsync is to use our Outlook plugin to send in emails of interest. Another is to CC or forward such emails to a Bipsync mailbox. But when considering the overall quantity of email a large firm receives, a more scaleable approach pays dividends.
This is where the Mail Classifier shines.
The sheer volume of critical information that needs to be captured, organized and synthesized into knowledge and actionable investment ideas across asset managers and allocators alike, warrants a more structured approach to consumption and classification than outlook can provide.
The Mail Classifier delivers this, allowing clients to connect any number of their mailboxes to Bipsync. We are then able to digest mail in real-time as it arrives in the mailbox.
Incoming mail is processed against a set of rules that are defined by clients. These rules determine which emails should be stored within Bipsync as research, and which should be ignored. This way, only relevant information makes it to the system of record. This removes the noise apparent in other catch all fire-hose approaches to mail ingestion, and creates a smart curated record of only relevant information, defined by our clients.
The conditions will be familiar to anyone who’s configured such rules within an email client, allowing for matching on email addresses, subject line, body content and attachment filenames:
With conditions established, the next step is to define actions – such as who should own the created Research item, and how it should be tagged. The entire Bipsync universe of tags is available for automated classification, from companies, industries and geographies to workflow items like Funds and Fund Managers, as well as Contacts, Note Types and more.
Clients are free to connect as many mailboxes as they wish, and can set up unlimited rules to process their mail.

Improvements and Bug Fixes
- Spellcheck is now enabled by default for all new users.
- The performance of the Bipsync Notes Desktop app has been significantly improved.
- The names of tagged companies can now be displayed in lieu of tickers in the note list, if a ticker is not set for that company.
- Files attached to records such as companies can now be converted to Research files by a member of the Bipsync team, on demand.
- The interface now displays progress feedback as Research files are uploaded.
- Rule improvements:
- Rules can now be run against Research files.
- A new Rule condition was added which determines whether a workflow item is in an inactive stage.
- The “Create Task” Rule now sets the author of the created task to be the author of the document that triggered the Rule.
- The same Rule also now ensures that the task is shared with the assignee.
- The “Send Email” action can now send to multiple email addresses. Separate each email with a space.
- EOD stock prices can now be displayed in grids via data lookup fields.
- Fixed an issue which caused the Launcher to sometimes not navigate to a matched result.
- Fixed an issue which sometimes prevented contacts from being created via the Contact widget.
- Fixed an issue which could cause research export requests from not completing.
- Fixed an issue which caused the caret to travel to the top of a long note when pressing enter to create a link.
- Fixed an issue which could cause events to not immediately appear on the Calendar widget.
- Fixed an issue which could cause synced events to not appear on the Calendar widget.
- Fixed a regression which caused Omnifield searches to not match accented characters.
- Fixed an issue which caused calculation fields to produce an incorrect value when summing values that included zero.
- Fixed an issue which allowed deactivated users to appear in comment mention lookups.
